What you´ll do

  • The occupant will provide essential support to the organization by managing daily operations, handling clerical tasks and ensuring smooth workflow for the site. 
  • Conduct new hire orientation, manage new hire onboarding schedule and other relevant new hire documentation as needed for HR. 
  • Maintain the Site attendance control system for the union-hourly employees.
  • Responsible for coordinating the “call-offs” with other internal stakeholders for Dayforce purposes.
  • Coordinating other medical attendance matters with the Site Nurse. 
  • Acts as point of contact for internal/external enquiries by phone and email, initiates action (answer, sort, etc.) and assesses issue urgency.
  • Manages leadership's calendar and paperwork, ensures timeliness and completeness.
  • Prepares business correspondence • Coordinates meetings and creates agendas, records, and meeting minutes. 
  • Research, compiles and issues special reports, financial data, presentations, organizational charts, etc.
  • Provides financial support on a department/project level, monitoring budget spend, raising and approving requisitions/invoices.
  • Provides information by answering questions and requests within the organization and team. 
  • Arrange business-critical internal/external events, including itineraries, accommodation, registration, etc 
  • Execute tasks relating to administrative support with minimal supervision in line with existing policies and guidelines..

  • Associates Degree in Business Administration, Environmental Science, or other related discipline with 3 years related experience or equivalent combination of education and experience.
  • Information Management/Computer Skills - has solid knowledge in the use and features of the suite of Microsoft packages (especially Access and Excel). Can work with integrated databases and generate neatly formatted numerical and graphical reports.
  • Communications - is able to communicate (verbal and written) clearly, accurately and effectively in formal and informal settings. Listens well in one-on-one and group settings. Realizes when information needs to be communicated to appropriate parties.
  • Interpersonal - knows how to develop and maintain collaborative relationships with managers and employees at all levels. Able to participate on team projects by contributing ideas that add value and completing team assignments. Is able to give and receive feedback constructively and modify behavior accordingly.
  • Project Management - is able to set goals on projects in collaboration with others. Remains organized while conducting various activities and coordinates own work efforts to stay on schedule. Recognizes when projects are not meeting expectations and offers recommendations.
  • Cognitive - can independently arrive at good solutions on simpler problems and works with others to solve more complex problems. Makes well-informed decisions and recognizes the need for new or modified approaches. Designs and completes basic quantitative and qualitative analyses to evaluate and display various types of information and data. Reviews information for accuracy and completeness and draws accurate conclusions from data.
  • Personal Effectiveness - can be counted on to honor commitments and follow through. Builds stable, trusting relationships. Strives for quality and continuous improvement as a way of doing business and consistently demonstrates high ethical standards. The salary range for this role is $55,000 - $70,000.00. This range represents the good‑faith minimum and maximum wages the Company reasonably expects to offer for this role at the time of posting. In addition to base salary, this position may be eligible for incentive pay or other forms of compensation, as applicable.  The Company also offers a comprehensive benefits package as described above. Actual compensation will be based on factors such as the candidate’s skills, experience, education, training, and work location.
